Know Your Scanner Warranty & Maintenance Policies

From warranty length, to repair turnaround time, to who pays for shipping, warranty policies vary widely by manufacturer and by product. It is important to know what warranty comes with your scanner. Let's say, your in-warranty check scanner stops working and you need a replacement unit as soon as possible. But its warranty coverage is 5 days for repair plus 2 days for return shipment. At this point, you'll probably end up having to pay additional fees to expedite the process. Making sure your hardware warranty includes a level of service appropriate for your operation is best done at the time of scanner purchase - not when you have a critical need.

Likewise, after the warranty expires, there are a variety of options for ongoing maintenance service contracts. These typically must be purchased prior to the warranty expiration date. Here again, each manufacturer offers different service plans. Here is a sampling of warranty and service plans.

Warranty

  • Out of Box Warranty – If a new scanner fails within a short timeframe, say 30 days, the manufacturer will replace it at no charge.
  • Standard or Limited Warranty - Ranging from 1-12 months, this comes with the scanner and provides free repair for broken units.
  • Extended Warranty – This can add years to the standard warranty and typically must be paid for when you purchase the scanner. Multi-year discounts may apply.
  • Start Date – Take note of the warranty start date. It might be the shipment date, the delivery date or even the invoice date.

Service Plans

  • Depot or Mail-In Service – You ship the broken unit to the manufacturer or nearest repair center. They repair or replace it within 3-10 days.
  • Advanced Exchange - The provider immediately ships you an exchange unit for overnight delivery. You return the broken unit within 10 days.
  • On-Site Support Service – A field service representative comes to your location either the same day or next business day to perform a repair.
  • Factory Repair - A flat rate repair program typically used for older models.
