South Placer Municipal Utility District (SPMUD) provides sewer collection and maintenance services to urban areas in northern California. They receive hundreds of check payments each day. Their payment processing solution included an aging tabletop scanner and software that they had long since outgrown.

Bancsource, an RP Solutions reseller, is a "One Stop Shop" provider, from repair to replacement. With over 300 field engineers and 18 warehouse centers, they are one of the largest independent maintenance providers in the country. The company not only provides repair, preventative maintenance and installation services but also sells turnkey hardware/software solutions.

SPMUD had been a long time customer of Missouri-based Bancsource. According to Russ Porter, Western Sales Director at Bancsource, "Their scanner had become increasingly unreliable over the past year. They had to keep calling for service, or come up with workarounds to get their work done. And their software didn't give them the controls or reporting capabilities they wanted." The utility was hand keying payment data from the checks and delivering deposits to their bank. It's an office with a small staff, so sending someone to the bank every day meant losing productivity.

Bancsource knew that a Check 21 remittance processing solution would be a vast improvement for SPMUD. They packaged a Canon CR-180, for faster more reliable scanning, with RP Solutions' ExpertRPS remittance processing software, which includes remote deposit capture. They also included ExpertICE archival/retrieval software to burn digital check images to CDs for archival purposes.

Today, the municipal utility district processes up to 1,000 checks per day. Most of the payments they receive include a payment coupon. Using ExpertRPS' sophisticated data recognition, payment data is automatically extracted from the documents, dramatically reducing their data entry. AR posting files are generated to integrate with their in-house accounting system. ExpertRPS uses the scanned check images to create ICL (Image Cash Letter) files, which the utility sends to their bank electronically - one of the benefits of remote deposit capture.

SPMUD's payment processing operation is far more efficient now. And with the new scanner, they can process their work in less time, with no hassles.
